5 Venue Selection Mistakes That Kill Events (and How to Avoid Them)

1. Choosing Based on Photos Alone
Instagram-worthy doesn't mean event-ready. A gorgeous rooftop might have terrible acoustics, no elevator access for equipment, or a 10 PM noise curfew. Always do an in-person walkthrough before signing. Bring your AV vendor and caterer if possible — they'll spot issues you won't.
2. Ignoring Power and Infrastructure
A barn venue looks charming until your DJ's sound system trips the only 20-amp circuit. Before booking, ask:
- How many amps available? (Most events need 100+ amps)
- Where are the electrical panels?
- Is there WiFi? What's the bandwidth?
- Are there enough restrooms for your guest count? (1 per 50 guests minimum)
- Is there a loading dock or freight elevator for equipment?
3. Not Reading the Exclusivity Clause
Many venues require you to use their in-house caterer, bartender, or AV company. This means:
- You can't bring your preferred vendors
- Prices may be inflated (no competition)
- Quality may not match your expectations

4. Underestimating Capacity
A venue that "holds 200" might mean 200 standing. With tables, chairs, a dance floor, DJ booth, bar, and buffet, you're looking at 120 seated. Rule of thumb: subtract 30-40% from the venue's stated max capacity for a seated event with entertainment.
5. Forgetting About Parking and Access
If your guests can't park, they can't attend. For 100+ guest events:
- Confirm parking capacity and distance to entrance
- Arrange valet or shuttle if parking is limited
- Provide clear directions with parking map in the invitation
- Check ADA accessibility (ramps, elevators, accessible restrooms)
