Event Staffing: How Many Staff Do You Need and What They Cost
Vensho Team5 min read
Understaffing ruins events. Long drink lines, empty plates not cleared, guests wandering without direction. But overstaffing kills your budget. Here's the formula for getting it right.
Staffing Ratios by Role
Bartenders
- Cocktail party: 1 bartender per 50 guests
- Full bar (sit-down): 1 per 75 guests
- Beer & wine only: 1 per 100 guests
- Rate: $25-$45/hour per bartender
Servers / Wait Staff
- Plated dinner: 1 server per 10-12 guests
- Buffet: 1 per 25 guests (monitoring + bussing)
- Cocktail reception: 1 per 25 guests (passing apps)
- Rate: $20-$35/hour per server
Security
- Under 100 guests: 1-2 security
- 100-300 guests: 3-5 security
- 300+ / alcohol-heavy: 1 per 75 guests
- Rate: $30-$50/hour per guard
Event Coordinators
- Under 75 guests: 1 coordinator
- 75-200 guests: 1 coordinator + 1 assistant
- 200+ guests: 1 lead + 2-3 assistants
- Rate: $500-$2,000 flat fee
Quick Calculator
For a 150-guest plated dinner with full bar:
- Bartenders: 3 ($75-$135/hr total)
- Servers: 13-15 ($260-$525/hr total)
- Bussers: 3 ($60-$105/hr total)
- Security: 2 ($60-$100/hr total)
- Coordinator: 1 ($500-$1,500 flat)
- Total for 5-hour event: $2,775-$5,325 + coordinator
How to Book
Most staffing agencies require 2-4 weeks notice. For large events (200+), book 6-8 weeks out. Always confirm: uniforms, meal provisions for staff, overtime policy, and minimum hour requirements.
