Event Photography: 8 Tips to Get Instagram-Worthy Photos
Great event photos don't happen by accident. Whether it's a corporate gala or a backyard birthday, a little preparation goes a long way. Here are 8 tips to get the most out of your event photographer.
1. Create a Shot List
Don't leave it to chance. Write down the must-have shots: group photos, keynote speaker, cake cutting, venue details, first dance. Share this with your photographer at least a week before the event.
2. Book Enough Hours
Most photographers charge by the hour. Don't cut it short — 6-8 hours covers arrival through departure. Cutting to 4 hours means missing golden hour or late-night moments.
3. Plan for Golden Hour
The hour before sunset produces the most flattering natural light. If your event is outdoors or has good windows, schedule key photos during this window.
4. Designate a Photo Coordinator
Assign someone (not the host!) to wrangle people for group shots. This saves 30-45 minutes of chaos.
5. Brief Your Photographer on the Venue
Send venue photos, floor plans, and any access restrictions ahead of time. Great photographers do a walkthrough before the event starts.
6. Ask About Turnaround Time
Standard is 2-4 weeks for edited galleries. If you need same-day social media posts, ask about rush delivery options (usually $200-500 extra).
7. Consider a Second Shooter
For events over 100 guests, a second photographer captures candids while the primary covers key moments. Usually $500-800 additional.
8. Review Their Portfolio First
Every photographer has a style (documentary, editorial, traditional). Make sure theirs matches your vision. Ask to see 2-3 complete event galleries, not just highlight reels.
